Job Title: Accounts Payable Specialist Primary Work Location: New York Hybrid, 3 days a week in our Bronx Office FLSA Classification: Exempt Projected Salary Range: $62,700 - $72,000/year

Overview: Association for Energy Affordability (AEA) is a rapidly growing nonprofit energy services and training organization dedicated to achieving energy efficiency in buildings to foster and maintain affordable and healthy housing and communities. Energy consulting services are completed through AEA's participation in a variety of federal, state, and local energy efficiency initiatives. AEA is a New York based organization, with over 20 years of industry experience and has been operating a West Coast office since 2010.

Position Summary: AEA is seeking a highly organized, detail-oriented and self-driven Accounts Payable Specialist to join our tight-knit, talented team of "Energy Geeks". The AP Specialist will support the accounting department by ensuring accurate, timely, and complaint processing of accounts payable transactions. This role is responsible for validating financial data, maintaining organized records across systems, and supporting general ledger accuracy. The position plays a key role in maintaining financial integrity, supporting internal controls, and enabling smooth day-to-day operations.

Responsibilities:

  • Work with the Sr. Accountant and support daily accounts for payable operations, reviewing, coding, and processing high-volume accounts payable transactions while ensuring proper entry, mathematical accuracy.
  • Match purchase orders, receipts, and invoices, ensuring accurate three-way matching and documentation.
  • Assist in resolving discrepancies.
  • Maintain organized and audit-ready financial records across systems including SharePoint and the folder network.
  • Follow established accounting procedures, internal controls, and deadlines to maintain financial accuracy and compliance.
  • Communicate effectively with internal team and vendors to resolve invoice discrepancies and payment issues.
  • Work cross-functionally with operations, programs, and accounting to support accurate and scalable financial processes.

These job responsibilities may be revised over time to ensure the functional responsiveness of the Accounts Payable Specialist to AEA and Federal and State program requirements.

Qualifications

Minimum Requirements:

  • Bachelor's Degree from a 4-year accredited college, preferably in accounting, finance, economics, business administration, or in a related field
  • 1-2 years of prior experience in related finance or accounting support role; experience in small to mid-sized companies with exposure to broader business operations is preferred
  • Proficiency with Microsoft Office, particularly Excel and general business communication tools
  • Experience working with ERP systems; Sage Intacct experience preferred
  • Experiencing using document management systems or virtual filing

  • Strong critical thinking, problem solving, and time management skills
  • Excellent interpersonal and communication skills with the ability to work effectively with internal teams, vendors, and leadership
  • Strong understanding of how accounting functions impact overall business operations
  • Must be able to legally work in the country where this position is located without visa sponsorship, although we may consider employment should there be a need for visa sponsorship.
