Title: Front Office Tax Coordinator

Location: Sherman Oaks, CA, US (on-site)

Status : Full-time position (40 hours/week)

Compensation: Starting base pay between $23.00 - $25.00/hour w2 + Employee Benefits ( Please note: Starting base pay amount is based on the extent of position-relevant experience)

Position Overview:

We are seeking a professional, detail-oriented Front Office Tax Coordinator to serve as the first point of contact for our organization. This role combines customer service, administrative support, client intake, document coordination, and office operations within a fast-paced tax resolution firm. The ideal candidate is a a professional with strong interpersonal skills (a real "people person") who has professional experience working within a tax, accounting, financial services, or other professional office environment and enjoys building relationships while helping clients navigate important financial matters and supporting overall office operations.

 

We are seeking a detail-oriented, organized and collaborative Front Office Administrative professional to join our team! The ideal candidate will have between 2-5 years of hands-on professional experience as a Front Office Administrative professional, with hands-on experience and ownership of a variety of Front Office Administrative duties.

 

This role requires an individual who can effectively handle sensitive client documents, manage incoming and outgoing mail, coordinate vendor management tasks, perform data entry, and contribute to a collaborative team environment. Schedule:

  • 8 hour shift (7:30am - 3:30pm PT )
  • Monday to Friday ( office is closed on weekends )

 

Key Responsibilities:

  • Administrative Support: Serve as the first point of contact for clients, vendors, and any other office visitors either by phone, email, and/or in person. Provide assistance with general office duties, including scheduling, filing, and maintaining office records.
  • Document Management: Organize, maintain, and securely manage confidential client files and tax records. Handle, organize, and securely manage these sensitive client documents using file management systems such as "Box."
  • Mail Management: Process incoming IRS and state tax correspondence and route documents appropriately, including incoming and outgoing mail, ensuring proper documentation and timely distribution.
  • Vendor Management & Coordination: Manage relationships with vendors, order supplies, and ensure timely procurement of office necessities.
  • Data Entry: Accurately input, update, and maintain records in databases and document management systems.
  • Reception Duties: Assist with front-office operations, including answering phone calls, greeting visitors, and directing inquiries appropriately.
  • Collaboration & Communication: Supporting tax attorneys, CPAs, and Enrolled Agents with administrative and client service needs. Work effectively with all levels of staff and contribute to a positive and team-oriented work environment.

 

Required Qualifications:

  • Education: High school diploma or equivalent required (Bachelor’s degree preferred)
  • Experience: 2-5 years of professional experience in administrative support, document management, or a related role.
  • Strong organizational skills and attention to detail is required.
  • Experience with file management systems similar to Box, Dropbox, and/or Google Drive is highly desirable.
  • Ability to effectively handle sensitive and confidential information.
  • Excellent communication skills with the ability to interact professionally with all levels of staff and the willingness to collaborate with colleagues to effectively execute duties as needed.
  • Technical proficiency is required, including experience with Microsoft Office Suite (Word, Excel, Outlook) and other comparable, relevant software.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Strong problem-solving skills and ability to work both independently and as part of a team.

Preferred Qualifications:

  • Prior professional experience working in a tax firm, CPA office, bookkeeping firm, financial services company, mortgage office, or similar professional services environment is strongly desired.
  • Familiarity with tax documents, IRS correspondence, financial records, or client intake processes.
  • Prior professional experience overseeing the collection of confidential client documentation, including effectively collecting and organizing the documentation.
  • Prior experience in a corporate or professional services environment is highly desired.
  • Experience effectively managing multiple administrative tasks simultaneously.
  • Demonstrated ability to work collaboratively within a team-oriented workplace.
